In your personal calendar, you can manage all your appointments in one place. You can create new private appointments or add course calendars. Further, it is possible to integrate external calendars via file upload (iCal format) or URL. Different colours will help you mark and differentiate calendar types.

The management of the personal calendar is only available in the desktop view. In the mobile view, use the portlet My dates on the home page to track your schedule. For more information, see the section Personalise home page.

Show personal calendar

To open your personal calendar, proceed as follows:

  1. Click the arrow icon next to your profile and select the entry Personal calendar .

2. Your calendar opens in a new window. The window is structured as follows:

  • Navigation and view options can be found in the upper area.
  • The middle area displays the actual calendar sheet in the selected view.
  • The lower area contains the calendar list. All calendars which are linked to this calendar are displayed here. This includes calendars from the system (course and group calendars) and manually imported calendars. Your own calendar is displayed in blue by default.

Use the navigation aid in the upper left corner of the calendar to navigate to the desired date in the selected view:

The navigation aid allows you to quickly navigate to the next/previous day, the next/previous week, or the next/previous month. Moreover, you can navigate to the current date with just one click.

Click on the left arrow to navigate to the previous day, week, or month. The right arrow, in contrast, will take you to the next day, week, or month.

The navigation depends on the calendar view (day, week, or month) you selected.

To maintain a good overview of upcoming appointments, you can switch between different views. Use the buttons in the upper right corner of the calendar:

  1. Open the course element Calendar .
  2. Click on month in the calendar navigation.

The weekly overview allows you to view all upcoming appointments in the current week.

  1. Open the course element Calendar .
  2. Click on week in the calendar navigation.

Create, edit, or delete appointments

Create appointment

You can create appointments for yourself and for other users, provided you have the right to edit the selected calendar. This includes single appointments as well as recurring appointments with different repetition cycles.

To create a new appointment, proceed as follows:

  1. Open the course element Calendar.
  2. Double-click an area in the calendar. The window for creating a new appointment opens. Depending on where you click, some appointment information might be filled in automatically.

3. Enter a title and optionally a location and a description for the new appointment.

4. Then check the data in the fields Start and End.

5. In the case of an all-day appointment, select the checkbox next to All day below the fields start and end. This option should be enabled for all-day appointments.

6. If necessary, configure the desired repetition cycle and an end date for this cycle.

NeverThe appointment is never repeated and takes place only once on the specified date at the selected time.
DailyThe appointment takes place every day at the same time.
Monday to FridayThe appointment takes place every day from Monday to Friday, not including weekends.
WeeklyThe appointment takes place every week on the same day at the same time.
BiweeklyThe appointment takes place every other week on the same day at the same time.
MonthlyThe appointment takes place every month on the same day at the same time.
YearlyThe appointment takes place once a year in the same month, on the same day, and at the same time.

In the case of a recurring appointment, you must enter a new date in the text field Until. Otherwise, only a single appointment will be created.

7. You can configure a reminder for the new appointment or recurring appointment.

However, the reminder for the appointment will only be sent by email if you have subscribed to the calendar. The email contains information about the appointment title, appointment data, and if indicated, the place of the appointment. The description will not be transmitted.

8. Now decide on the visibility of the appointment

Public eventThe appointment will be visible to all participants and added to their calendar.
Show only date and time

Users with extended rights will still see all information about this appointment. Users without extended rights, however, will only see the date and time of this appointment in the calendar.

Private eventThe appointment is only visible to you personally. It is not synchronised in the calendars of other users. Only other users with extended rights may see such an appointment if it has been added to a course or group calendar.

9. Click on Save to complete the creation process.

You can only create new appointments in system calendars (course calendar, group calendar), not in imported calendars.

An already created appointment or a recurring appointment can easily be edited at any time. 
  1. Open the course element Calendar.
  2. Double-click the appointment you want to edit. The window Edit event opens.
  3. Make your desired changes and click on Save to complete the editing process.

Delete appointment

An already created appointment or a recurring appointment can easily be deleted at any time. 
  1. Open the course element Calendar.
  2. Double-click the appointment you want to delete. The window for editing an appointment opens.
  3. Click on Delete. The appointment will be deleted immediately without showing a delete confirmation prompt.

    If the appointment you want to delete is part of a recurring appointment, the following window will appear:

    You have the option to edit the recurring appointment, delete a single appointment which is part of the recurring appointment, or delete the recurring appointment.

Functions in the calendar list

Below the appointment sheet, you will find the calendar list, which includes all calendars that are linked to this calendar or have been imported to it.

The following functions are available to all users:

This checkbox is only available in the personal calendar. If activated, appointments of this calendar are displayed in the appointment sheet of the personal calendar and in the My Appointments start page portlet.

You can generate an iCal feed link for calendars showing this symbol. An iCal feed link can be used to embed the selected calendar into other applications. You can copy the URL and paste it into any other calendar application that supports the iCal format.  

  1. Open a calendar area in a course, group, or your personal calendar.
  2. Below the appointment sheet, you will find the calendar list, which includes all associated calendars.
  3. Click on the icon next to the calendar name.
  4. Copy the displayed URL and paste it into another calendar application.

Set calendar colour

Depending on the calendar type, the system will apply the default colour scheme to individual calendars. You can customise the colour scheme at any time. 

To change the colour scheme for one of your calendars, proceed as follows:

  1. Open a calendar area in a course, group, or your personal calendar.
  2. Below the appointment sheet, you will find the calendar list, which includes all associated calendars.
  3. Click on the grey square icon next to the name of the calendar whose colour scheme you want to change.

4. A colour selection window opens which allows you to adjust the colour scheme by clicking into the colour legend.

5. Then click on an empty area outside of this window. By closing the colour selection window, you confirm the colour selection. The displayed page will be reloaded and the selected colour scheme will be applied to the calendar and the calendar appointments. The calendar will then also be displayed in this colour in the courses or groups in which it is used.

6. The newly selected colour scheme can be changed at any time.

The colour scheme of a calendar is saved and displayed user-specifically.
This means that each calendar will initially be displayed in the default colour scheme. If a user customises the colour scheme of a calendar, this setting will only apply to their calendar view. It will not affect how other users see the same calendar in their view.

Users with the right to edit the selected calendar also have the following options:

  1. Click on Import calendar below the calendar sheet.

2. The window Import calendar opens. Select whether you want to import the calendar as a .ical file or as a URL.

3. Indicate the URL or upload the .ical file and enter a name for the imported calendar.

4. Confirm your entries with Save.

5. The imported calendar appears in the list of imported calendars below the Import calendar button. The appointments will be displayed in the appointment overview.

The calendar name and appointments of the calendar are initially displayed in blue, as is the case with your own calendars.

Please note that special visibility settings of appointments from .ical files cannot be applied!

Edit calendar

Calendars you are allowed to edit are followed by a pencil icon.

To edit a calendar, proceed as follows:

  1. Open the calendar. Below the appointment sheet, you will find the calendar list, which includes all calendars associated with this calendar as well as all imported calendars.
  2. Click the pencil icon next to the calendar name and make your desired changes.
  3. Confirm all changes with Save.

Delete calendar

To remove a calendar, proceed as follows:
  1. Open the calendar. Below the appointment sheet, you will find the calendar list, which includes all calendars associated with this calendar as well as all imported calendars.
  2. Calendars you are allowed to remove are followed by an X icon.
  3. Click on this icon and confirm the request to remove the calendar.

You can only remove calendars you have previously imported or added. 

You cannot remove group calendars, since they are automatically added when you enrol in a group. Once you leave the group, you will also no longer see the calendars associated with it.

Add course calendar to your personal calendar

To add a course calendar to your personal calendar, proceed as follows:

  1. Open the course and switch to the course calendar or a course element of the type calendar.
  2. Click the Add to personal calendar button above the course calendar.
  3. The course dates will now be added to your personal calendar. Course calendars/dates are highlighted in green, unless you have set a different colour for the calendar.

Group calendars will be automatically added to your personal calendar upon enrolment. Group calendars are highlighted in orange, unless you have set a different colour for the calendar.
